Information for Registered Undergraduate    Student Organizations

On-campus events

  1. Plan your event, talk to everyone who will be considered a host of the event and figure out logistics for  general space management (some details can be found in the Competency Plan)
  2. Hire at least one university-approved bartender. Also, decide what your professional security needs will be (at least 2 guards for a fraternity party). Security and bartenders must be confirmed before you submit your registration. Please contact Aman Goyal at goaman@exchange.upenn.edu to discuss security options.
  3. Fill out the on-campus event registration form online, and click the button to print it. Sign under the checklist. Get signatures from your organization's president and other members listed as hosts on the form.
  4. If your organization is Greek, take your registration to the Office of Student Affairs/Fraternity Sorority Life and get it signed.
  5. Your organization must also submit a competency plan with your first event registration of each academic year.
  6. Bring your registration to the Office of Alcohol and Other Drug Program Initiatives, 3611 Locust Walk, 3rd floor. The registration is due by 2 p.m. the Monday before the event.

3rd Party Venue Events

  1. Pick a venue, talk to the event coordinator/manager and arrange details such as: date, time, areas of the venue that are on and off limits, bathroom locations, etc.
  2. Fill out the third-party event registration form, and click the button to print it. Sign your registration, and get signatures from your organization's president and other members listed as hosts.
  3. Get the form signed by the owner or manager of the venue. Get copies of the venue's liquor license and liability insurance, or ask the manager to scan and email those documents to the Office of Alcohol and Other Drug Program Initiatives (goaman@exchange.upenn.edu).

  4. If your organization is Greek, take your registration to the Office of Fraternity Sorority Affairs and get it signed.
  5. Your organization must also submit a competency plan with your first event registration of the academic year.
  6. Bring your registration, the liquor license, and the insurance certificate to the Office of Alcohol and Other Drug Program Initiatives, 3611 Locust Walk, 3rd floor. The registration is due by 2 p.m. the Monday before the event.
