For the optimal partnership and management of University managed fraternity houses, a number of policies and documents have been developed.  Residents are expected to know and abide by all of these policies.  These have all been provided in hard copy to all contracted residents and parents either at the time Occupancy Agreements (leases) were signed or since that time.  They are also available for your perusal and printing here:

 

Also, as the University managed houses are closed at certain times of the year, special permission is required for any occupancy during those times.  If you need to move in early, you must complete the Request for Early Move In form (click on the form name), complete the document, and then either email it to OFSAGA@pobox.upenn.edu, or fax it to 215.573.2406.

General Housing Information for Parents

Of the many fraternity and sorority houses that Penn chapters occupy, it is important to understand that there is a mix of how they are owned and operated. Some are owned and managed by the University through the Office of Fraternity Sorority Affairs and University Life Facilities. Others are actually owned by the fraternity’s alumni house corporation, while yet others are leased from local real-estate management companies. Below is a listing of the house and type of owner/management.

Regardless of owner/management, the Office of Fraternity Sorority Affairs and University Life Facilities staff work with all chapter student house managers in day to day management, information, safety checks, etc.

Regarding the University owned/managed chapter houses, please understand from the beginning that the care, management, and procedures are different than they are in the College Houses/Residence Halls. These fraternity and/or sorority houses are managed through a three-way partnership between the chapter undergraduates, the alumni/ae house corporation, and the Office of Fraternity Sorority Affairs. This arrangement requires that students take more responsibility throughout the year in helping maintain the property which will provide a communal living experience that helps prepare them for a future of independence and success. Therefore, we encourage you to read this and all material provided to you throughout the year so that you have a clear understanding of chapter house living, including what you may expect when you bring your son/daughter to campus for move-in. It would also be helpful if you’d discuss this material with your son or daughter so that they also understand their responsibilities in maintaining a safe, attractive and supportive chapter house that will become their “home away from home.”

MOVE-IN AND MOVE-OUT DATES
As with the College Houses, specific opening dates are set each year, and house occupants may not move in prior to those dates without official involvement in approved University-related programs and filing the appropriate paperwork and express written consent from the Office of Fraternity Sorority Affairs. Multiple notices go out to chapters as well as those populations when early arrival is usually necessary—be sure that your son or daughter looks for that information.


Fall Move-in: Before the chapter house officially opens, your student’s chapter house manager or president should communicate with him/her regarding his/her arrival and who to see for room keys, room condition inventory forms and other necessary paperwork when s/he arrives.


Spring Move-out: ALL undergraduate students should make arrangements to move out within 24 hours of completion of their final examinations for the Spring semester in May and no later than the morning following the last day of final exams. Final Exams for Spring Semester 2011 End on Tuesday, May 10th and undergraduate need to be moved out by Wednesday, May 11th, 2011.  GRADUATING SENIORS who are contracted residents of the property may remain in the chapter house during Senior Week but must be moved out by 5 p.m. on Commencement Day (May 16,2011) unless other arrangements are made prior to May 1, 2011.


Summer Move Out: Students who are contracted to live in chapter houses for the summer sessions must make arrangements to move their belongs and move out within 24 hours of their last final or the last day of Summer 2008 Class Session II. Houses are closed from the end of Summer sessions (Saturday, August 13, 2011) until the official Fall opening on Friday, September 2, 2011. This allows for appropriate cleaning and servicing of those houses before the next academic year.

PLEASE NOTE: CHAPTER HOUSES ARE CLOSED FOR WINTER BREAK (the last day of Fall term finals, December 22, 2010, until the Sunday prior to the beginning of Spring Semester class sessions, January 9, 2011). HOUSES ARE ALSO CLOSED FROM THE END OF SUMMER CLASS SESSION II UNTIL THE OFFICIAL FALL OPENING OF ALL HOUSES. STUDENTS ARE NOT ALLOWED TO LIVE IN THE CHAPTER HOUSES DURING THIS TIME PERIOD.

As the time comes closer to your daughter or son to live in a University-owned chapter house, s/he AND you will receive much more specific information pertaining to:

  • FURNITURE IN BEDROOMS
  • STORAGE IN CHAPTER HOUSES
  • GREEKNET AND PENNTREX –(Internet/telephone services)
  • VEHICULAR ACCESS TO LOCUST WALK/HAMILTON VILLAGE -for move in-move out.

There will also be other valuable information that will be included in the Greek Housing Brochure which is mailed to the parents of all contracted occupants within University managed houses the beginning of August just prior to their student’s move in. This information discussed the management of these houses, and particular points of interest from your student’s occupancy agreement. After reading this information, if you have any questions or want clarification, please contact us immediately. No one likes misunderstandings or surprises, and we want to support you and your student as they move into our sorority or fraternity houses.

The University of Pennsylvania continues to address issues relevant to our students, including the alcohol policy. Students living in fraternity and sorority houses are bound by University policy just as they were in the College Houses. In addition, they are also bound by national organization policies as well.
